Wiveliscombe Community Swimming Pool Club (“Wiveypool”) respect each individual’s right to personal privacy. We collect and use information through our website www.wiveypool.org and at the swimming pool only in the ways covered in this statement.
DATA PROTECTION STATEMENT
Wiveypool is committed to operating in a way that complies fully with the provisions of the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) 2018. Wiveypool recognises that the personal data legitimately required in order to carry out its business must be collected, processed, stored and disposed of fairly, lawfully and with due regard to confidentiality. Wiveypool fully respects your privacy.
THE INFORMATION WE MAY COLLECT ABOUT YOU
If you apply for membership, make a donation, volunteer, or sign up for an event we will usually collect:
Your contact details
Names of family members
Ages of juniors
Dates of birth
Name of guardian (for under 16’s)
If UK taxpayer for Gift Aid purposes
Your acceptance of membership terms and conditions.
Where it is appropriate we may also ask for:
Information relating to your health.
WE WILL MAINLY USE YOUR DATA TO:
– Provide you with annual, day or week membership (annual membership expires on the day before the commencement of the next season).
– Administer your donation and/or support your fundraising, including processing Gift Aid.
– Ensure we know if you prefer to be contacted or not.
– Contact you with information about events taking place at the pool.
– We may also collect and retain your information if you send feedback about our services or make a complaint.
The promotional and fundraising activities of charities are covered by the direct marketing rules. With your consent, we will contact you by email only (via Google mail and Monkeychimp), to let you know about the progress we are making and to ask for donations or other support. Occasionally, we may include information from people or organisations who support us.
We make it easy for you to tell us if you want us to communicate with you or not. We have provided an “opt-in” section on the membership application form. If you don’t want to hear from us, that’s fine. If you want your data corrected or removed then just contact us on 01984 624720 or firstname.lastname@example.org.
DISCLOSURE OF YOUR INFORMATION
We do not sell or share your personal details to third parties for the purposes of marketing. However, if we run an event in partnership with another named organisation then your details may need to be shared. We will be very clear what will happen to your data when you register for the event.
We will only share your details where legally required, for example where a person reports abuse or a serious intention of harming someone else or in respect of the prevention or detection of crime.
ACCESS TO INFORMATION
The Data Protection Act 1998 (“Act”) gives you the right to access information we hold about you.
Trustees and staff within Wiveypool will take all necessary steps to make sure that personal data is kept secure at all times against unauthorised or unlawful loss or disclosure. Wiveypool will retain personal membership data for two seasons only. Any data no longer required will be deleted or disposed of confidentially and completely. Records deleted on live systems will also be deleted from system back-ups and archives, along with any hard copies.
THIRD PARTY SOFTWARE AND LINKS
We use third party software to collect and store your data and membership fees -eu.jotform, Supersaas, Google, MailChimp, PayPal and GoCardless and from time to time we may offer links to other web sites. We encourage you to read their privacy policies. Their standards may differ from ours and we do not accept responsibility or liability for their policies.
